For months I’ve been using Keynote for Zoom webinars and Zoom meetings, but recently had an issue where I couldn’t see or enable the chat panel or participants panel, launch polls or see any video gallery. I ran a webinar “blind” (only seeing the slides see below) it was awful. I couldn’t see the record buttons, or the chat or participant menu, and my cohost had to send me chat in a SMS on my phone…Not quite a disaster, but very tricky and frustrating. I’m not sure what had changed, maybe I had ticked a setting I shouldn’t have previous to this recent webinar. Did this happen to you?
I only have one screen to use for Zoom Webinars/Meetings, some of these issues might be able to be overcome using a second monitor. But if you have only one screen this article is for you.
After some extensive testing on my part, and just recently finding a great video on how to run Keynote in presenter mode on Zoom with screen-sharing, I figured out another way of doing it so that you now have access to all the Zoom settings to see chat, polls, and with the help of this great video, and if you follow the steps in the video you can even enable presenter view.
Zoom’s Help On This Is…..
If you visit Zoom help https://support.zoom.us/hc/en-us/articles/201362963-Screen-Share-A-Keynote-Presentation to explain how to use Keynote with Zoom they don’t tell you any of this, and simply say to run Keynote in a “Window” Which you can’t do unless you use rehearsal mode which they also don’t tell you. There is no mention of this tricky little setting I’m about to show you. It’s a good idea to follow their other suggestions about Keynote preferences.
Because you cannot run Apple Keynote in a window (it only plays with animations in full screen) on your computer, you have to use rehearsal mode, and its tricky. The video below will show you how to do this. But there is another way! Thankyou Dianne Gan
There’s A Fix!
I found a hidden setting that enables you to run Keynote in full window play mode at the same time as being able to access the full floating menu of Zoom to see the Zoom chat panels, participants, polls and record buttons ect. So below is my explanation of how to screen share Keynote for a Zoom Meeting or Webinar that may also include an imbedded video.
Firstly that pesky little setting that allows you to run Keynote full screen and access the Zoom meeting or Webinar floating menu.
Why Do I Need This Setting?
Without unticking or disabling this setting, your keynote will run full screen without the full floating Zoom menu options. You may have already experienced this, and this is the issue I had on my last webinar. You cannot access chat – Participants – or recording controls. You also cannot see any video gallery.
If you try to use Zoom and the “Desktop 1 or 2” share option with Keynote, without unticking this setting you will see an orange error message telling you that you need to bring the application to the front of the screen, and screen sharing will be paused, meaning no-one will see your slides.
You need to untick the option to “Share selected app window only” in Home/settings/screensharing/advanced from the Home panel in the Zoom app. If you are a little vague on that, see the step by step instructions below.
Untick Share Selected App Window Only
Download the Zoom desktop app https://zoom.us/support/download if you haven’t already got it. Once installed, log into your account.
- Go to the Zoom Home panel
- Click on Zoom settings top right of the panel
- Click on Share Screen settings tab
- Click on the Advanced button
- Untick this box!
Now when you want to use Keynote with screen sharing click the Share Button on the floating menu bar after starting a meeting and select Keynote – Not any of the Desktops. You should now see all the available menu options in the floating Zoom bar to enable the chat box ect..
Steps to run Keynote as a Webinar Meeting screen share.
After you have ensured this setting is unticked –
- Open your Keynote slides and exit back out to to window mode if it opens in full screen
- Open your Zoom desktop app and click on the meeting/webinar link or start a meeting.
- Go to the green screen share button on the floating menu for Zoom and click it
- Select Keynote presentation NOT Desktop 1 or 2
- Then click the play button on Keynote to start slide show at full screen
- You will then have access to the full Zoom floating menu and chat panels.

Sharing Sound For An Embedded Video On Keynote
If you are playing a video as part of your Keynote be sure to select Share computer sound, and as an extra option “Optimize Screen share for Video Clip”. See pic above. You will find this menu in the “More” tab far right of the floating Zoom Menu and as options on the panel when you are selecting which screen to share after clicking the Share button.
Other Tips Based on Comments Below
Use a headset/mic, rather than your computers built in microphone and speakers, this prevents feedback (high screeching sound) and a “Hollow Cave” type sound.
Set keynote to play embedded video via “Start Movie On Click” (using arrow keys on keyboard, mouse or clicker) rather than having to click the play button. The settings are in the “Movie” settings tab in Keynote on the slide that has your video embedded.
Presenting To A Class or Group?
I have used the above method to present to a class, two classes simultaneously actually. Where I could ask students questions during my presentation and have them answer and speak to me on camera.
The staff at the school, signed both classrooms into my Scheduled Zoom meeting from different classrooms on different laptops/smart boards. They presented my slides on a smart board (as the smart board was larger than a laptop, easier for a class of 30 students to see) via a connected laptop logged into Zoom. The staff selected the Zoom sound output for the Smart Board, but the sound input via the laptop (no built in mic on the smart board). They also selected the laptop camera for video of the class (the smart boards don’t have a camera). This meant they had the laptop in the centre of the room to use its built in camera, with the smart board behind it for my slides and video of my face in the corner of the screen.
When the students wanted to talk to me, they either spoke up in class and stood, or came over to the laptop and spoke to me. This worked very well with an enthusiastic and involved member of the teaching staff facilitating it.
Be sure to use Gallery view in Zoom with speaker highlighted so that you can see well enough the students who are speaking at the time. You may have to adjust the size of the Video Gallery boxes on your screen to be able to see the class better. Having dual monitors might help with this.
The kids absolutely loved it, and it gave us a sense of me being there in person.
Lastly, be sure to test your sound and video first, before running a Zoom/Keynote webinar with a friend/colleague acting as a participant.
